Microsoft Copilot for Sydney Businesses, Licensed and Governed
Microsoft Copilot (formerly Microsoft 365 Copilot) can draft, summarise and find information across your email, files, meetings and chats. It can also surface anything your staff can already open. As a Microsoft partner and CSP reseller, AristaTech supplies and licenses Copilot, fixes permissions first, pilots it with a small group, then deploys and supports it with governance in place.

AristaTech is a Microsoft partner and a Microsoft Cloud Solution Provider (CSP) reseller. We supply, license, deploy and support the full Microsoft range, including Microsoft 365, Microsoft Copilot, Dynamics 365, Power Platform, Security Copilot, Purview and SharePoint Advanced Management. Which Copilot is which?
Microsoft uses the Copilot name across several products, and they are licensed differently. Here is the short version, based on Microsoft's own documentation.

Copilot in Word, Excel, PowerPoint, Outlook and Teams
This is the version most people mean when they say "Microsoft 365 Copilot". With a Microsoft Copilot licence, Copilot works inside the apps your team already uses and draws on the emails, files, meetings, calendars and chats each person already has permission to see.
What it does (as described by Microsoft)
- Word: draft, rewrite and summarise documents.
- Excel: analyse data, generate insights, and create formulas and visuals.
- PowerPoint: create presentations from prompts or existing content, summarise presentations, and make deck-wide edits.
- Outlook: draft emails, summarise threads and get coaching tips on clarity, sentiment and tone.
- Teams meetings: ask Copilot during a meeting who said what, where people agree or disagree, and what the follow-up tasks are. For Copilot to work after the meeting ends, transcription or recording needs to be on.
- Intelligent recap: AI-generated meeting notes, tasks and highlights after a Teams meeting or call. Microsoft makes it available with either a Teams Premium licence or a Microsoft Copilot licence. Audio recap needs a Microsoft Copilot licence.
- Copilot Chat in Teams and Outlook: ask questions and get summaries alongside the content you have open.
Who it suits: teams that live in email, documents and meetings, such as professional services, finance, operations, sales and management. It suits roles with lots of reading, writing and meeting follow-up.
What to check first
- Each user has an eligible Microsoft 365 plan, a Microsoft Entra ID work account, an Exchange Online mailbox (for email and calendar features) and OneDrive.
- Microsoft 365 Apps are on a supported update channel. Microsoft says Copilot is available in every update channel except Semi-Annual Enterprise Channel.
- Your Teams meeting policies for transcription and recording match how you want Copilot to be used in meetings, and staff understand when meetings are transcribed.
- SharePoint, OneDrive and Teams permissions are tidy, because Copilot can surface anything a user can already open.
Microsoft Copilot Chat: what is included and what is paid
Microsoft Copilot Chat (formerly Microsoft 365 Copilot Chat) is included with eligible Microsoft 365 subscriptions. Staff sign in with their work account and get a secure AI chat that is grounded mainly in the public web.
Included Copilot Chat
- Covered by Microsoft's enterprise data protection when users sign in with a Microsoft Entra work account.
- Works from the Microsoft Copilot app, the Edge sidebar, and Outlook and Teams.
- Can work with your organisation's content only when a user provides it, for example by uploading a file, or when used with open content in Outlook and Teams. Microsoft says Copilot Chat in Outlook can also answer across a user's emails, calendar and meetings, with less organisational grounding than the paid licence.
- Agents grounded in instructions and public websites are included. Agents that use your work data are pay-as-you-go, billed through an Azure subscription that an admin sets up, with budgets and spending alerts.
Paid Microsoft Copilot licence adds
- Automatic grounding in your work data through Microsoft Graph, without uploading files.
- The full Copilot experience in Word, Excel, PowerPoint and OneNote, with priority access.
- Broader agent capabilities, Copilot Analytics and SharePoint Advanced Management.
Who it suits: almost every Microsoft 365 business can start with Copilot Chat today. It is a sensible way to build habits and an AI usage policy before buying paid licences.
What to check first: that staff sign in with work accounts rather than personal Microsoft accounts, that your network allows the Microsoft Copilot endpoints, and that your Copilot admin settings (pinning, web search, agent creation, image generation) are set deliberately rather than left at defaults.
Agents: Agent Builder and Copilot Studio
Microsoft describes agents as scoped versions of Copilot that act as AI assistants and can automate business processes. There are two main ways to build them.
- Agent Builder sits inside the Microsoft Copilot app. Microsoft positions it for individuals and small teams who want a no-code, question-and-answer agent built from existing content, such as a team's SharePoint files or emails. It does not add actions that connect to external services.
- Microsoft Copilot Studio is Microsoft's low-code tool for agents that serve a whole department, the whole organisation or external customers. It supports multi-step workflows, connectors, approvals and more control over deployment.
How Copilot Studio is licensed: since 1 September 2025, Microsoft measures agent usage in Copilot Credits (previously messages). Credits come through prepaid packs, a one-year prepurchase plan or pay-as-you-go through an Azure subscription. Microsoft says that for users with a Microsoft Copilot licence, certain agent use inside Copilot, Teams and SharePoint does not count against Copilot Studio capacity.
Who it suits: businesses with a repeatable question or process, such as an internal policy helper, onboarding guide or service desk triage.
What to check first: who is allowed to create and share agents, which content each agent can read, and how credit usage will be capped and monitored.

Copilot in Windows and Copilot+ PCs
Copilot in Windows. On Windows 11, the Microsoft Copilot app (previously the Microsoft 365 app) is pinned for users who sign in with a work account. Microsoft says Copilot Chat is available at no extra cost to people signed in with a Microsoft Entra account and is covered by enterprise data protection. Users with a paid Copilot licence can switch between web and work results. Admins control pinning in the Microsoft 365 admin center.
Copilot+ PCs. Microsoft describes Copilot+ PCs as a class of Windows 11 PCs with a neural processing unit (NPU) that can perform more than 40 trillion operations per second (TOPS). Microsoft's minimum requirements for a Copilot+ PC are:
- a compatible processor with a 40+ TOPS NPU, from the processor families Microsoft lists as qualifying
- 16 GB DDR5 or LPDDR5 RAM
- 256 GB SSD or UFS storage
Microsoft notes that a PC with a 40+ TOPS NPU but less memory or storage is not a Copilot+ PC. Copilot+ PC features include improved Windows search, Click to Do, Live Captions and Recall (preview). Microsoft states Recall is disabled and removed by default on managed business devices, and IT decides whether to allow it.
Who it suits: businesses planning a laptop refresh who want on-device AI features and the security hardware Microsoft highlights on Copilot+ PCs, such as Secured-core PC and the Microsoft Pluton security processor.
What to check first: whether the features matter for your users, your policy on Recall, and whether your line-of-business apps run well on the processor you choose, including Arm-based devices. Copilot in Dynamics 365
If you run Microsoft Dynamics 365, Copilot is also built into those apps.
- Dynamics 365 Sales: summarises leads, opportunities and accounts, highlights recent changes, helps sellers prepare for meetings and answers questions from documents stored in SharePoint. Microsoft says the Sales agent in Microsoft 365 Copilot is becoming the preferred way to get this help. Copilot only uses records the signed-in user can access.
- Dynamics 365 Customer Service: helps service staff answer questions, draft emails and chat replies, and summarise cases and conversations. Microsoft notes some of these features are generally available in North America and in preview in other supported regions, so availability for Australian environments needs checking feature by feature.
- Dynamics 365 Business Central: chat with Copilot, analysis assist, record summaries, autofill and finance help such as bank reconciliation assist, plus agents such as the Payables Agent. Microsoft says Copilot in Business Central is included with the Business Central licence at no extra cost (while noting fair-use policies or pricing might be introduced later), is available only for Business Central online, and supports Australian English for several features.
Who it suits: businesses already on Dynamics 365, or planning a move to Business Central.
What to check first: your Dynamics 365 licences, environment region, which Copilot features are generally available versus preview for your region, and security roles in the app.

Copilot in Power Automate and Power Apps
- Power Automate: describe an automation in plain English and Copilot helps build the cloud flow. Copilot also helps with desktop flows, process mining and questions about past flow runs. Microsoft says that in regions with local GPU capacity, which includes Australia, Copilot is on by default.
- Power Apps: describe what you need and Copilot generates an app and a Dataverse data model. Generally available Copilot features are on by default. Preview features can be turned off per environment or tenant.
Who it suits: teams that already use the Power Platform, or that want to replace spreadsheets and email chains with a simple app or flow.
What to check first: your Power Platform environments and data policies, who is allowed to build, and whether apps will need premium connectors or Dataverse.

Microsoft Security Copilot
Microsoft Security Copilot is a generative AI security tool for defenders. Microsoft lists use cases such as investigating incidents, threat hunting, writing KQL queries, analysing suspicious scripts and managing security posture. It works with Microsoft Defender XDR, Microsoft Sentinel, Microsoft Intune, Microsoft Entra and Microsoft Purview.
How it is licensed: Security Copilot capacity is measured in Security Compute Units (SCUs). Microsoft has announced that Security Copilot is included for eligible Microsoft 365 E5 and E7 customers, with 400 SCUs a month for every 1,000 paid user licences (up to 10,000 SCUs a month), scaling down for smaller user counts. Microsoft says this rollout began on 18 November 2025 and continues in phases.
Who it suits: organisations on Microsoft 365 E5 or E7, or with a security function that works in Defender, Sentinel, Intune or Purview every day. For most smaller businesses on Microsoft 365 Business plans, the first priority is usually getting the security basics right through our cybersecurity services.
What to check first: your eligibility, who should have Security Copilot roles, and the data sharing and storage settings Microsoft preselects when it provisions Security Copilot automatically.

Licensing basics and prerequisites
You do not need to know every SKU. These are the basics Microsoft sets out, and we work through them with you during an assessment.
- A qualifying Microsoft 365 plan. The Microsoft Copilot licence is an add-on. Eligible plans listed by Microsoft include Microsoft 365 Business Basic, Business Standard and Business Premium, Microsoft 365 E3 and E5, Office 365 E1, E3 and E5, and several frontline, Teams, Exchange and SharePoint plans. Microsoft 365 E7 includes Microsoft Copilot.
- Copilot Business for smaller organisations. Microsoft offers a Copilot Business add-on for organisations on Microsoft 365 Business Basic, Standard or Premium, up to 300 seats per tenant. Microsoft says it has the same capabilities as Microsoft Copilot. Organisations with more than 300 users use Microsoft Copilot.
- Microsoft Entra ID work accounts for every user.
- An Exchange Online mailbox for anything that uses email, calendar or meeting data.
- OneDrive set up for each user, as some Copilot features need it.
- Microsoft 365 Apps on a supported update channel (anything except Semi-Annual Enterprise Channel).
- Network access to the Microsoft 365 and Copilot endpoints, including the
*.cloud.microsoftdomain. - Teams policies for transcription and recording if you want Copilot in meetings.
Microsoft also notes that Microsoft Copilot is not available with device-based licensing for Microsoft 365 Apps for enterprise.

Data protection and governance readiness
Copilot does not change who can see what. Microsoft states that Copilot only surfaces organisational data that a user already has at least view permission for. The risk is that many businesses have old sites, folders and links that are open to far more people than intended. Copilot makes that information easier to find.
What Microsoft provides, and what we supply, deploy and support
- Microsoft Entra ID: every Copilot user needs a Microsoft Entra work account. Microsoft's Copilot setup guidance calls out multifactor authentication for all users, Conditional Access policies and audit logging as key security measures. Microsoft also provides an AI Administrator role, so Copilot can be managed without handing out Global Administrator rights.
- Enterprise data protection: Microsoft says prompts and responses for work accounts are covered by the same Data Protection Addendum and Product Terms as Exchange email and SharePoint files, are not used to train foundation models, and respect your permissions, sensitivity labels and retention policies.
- Microsoft Purview sensitivity labels: label confidential content so its sensitivity is visible to users. Where a label applies encryption, Microsoft says the user needs the right usage rights before Copilot can return that data.
- Microsoft Purview data loss prevention (DLP), audit and retention: help detect and protect sensitive information, record Copilot interactions for audit, and retain or delete prompts and responses under your policies. Available controls depend on your Microsoft 365 plan.
- SharePoint Advanced Management: Microsoft includes it with Microsoft Copilot licences. It provides data access governance reports for overshared sites, site access reviews by site owners, inactive site policies and restricted content discovery, which keeps high-risk sites out of Copilot responses while they are cleaned up.
- Restricted SharePoint Search: an older, temporary control. Microsoft says it is retiring and has blocked new enablement from 31 July 2026, recommending restricted content discovery and Purview instead. If your tenant still relies on it, plan the move.
- Microsoft's deployment blueprint: Microsoft publishes a "secure and governed foundation" blueprint for Copilot built on three steps: remediate oversharing, set up guardrails, and meet regulations. We use it as a checklist, scaled to the size of your business.
Practical readiness checks we run
- Sites, Teams and folders shared with "Everyone except external users" or with old anyone-links.
- Sensitive libraries such as HR, finance, legal, client records and board papers, and whether they are labelled.
- Former staff, contractors and guests who still have access.
- Admin roles, MFA coverage and Conditional Access gaps.
- Retention, audit and backup settings for Microsoft 365 data.
- A short AI usage policy staff can actually follow.

2. License
We recommend the right mix for each role: Copilot Chat for everyone who is eligible, paid Microsoft Copilot or Copilot Business licences for the people most likely to benefit, and pay-as-you-go or Copilot Studio only where an agent is justified. 3. Pilot
A small group, real work, known data sources and an agreed measure you already track. We set up the admin controls, run short training and collect feedback. The pilot ends with a joint decision: expand, adjust or stop.
4. Adopt
If the pilot earns it, we deploy in stages with role-based examples, a usage policy and support through our helpdesk. We use Microsoft's Copilot usage reports to see where adoption is working and where people need help.
5. Govern
Copilot settings, agents, labels, DLP and SharePoint permissions need ongoing care. We review access, licence fit and new Microsoft features as part of your managed support, so Copilot stays useful and controlled.
